⏱️ Average time: 3-5 minutes
👤 Who is this guide for: Admins, marketing users, automation managers, and teams using media in WhatsApp templates, broadcasts, auto replies, and transactionals
📌 What Is the Media Library Insights Dashboard? #
The Media Library Insights dashboard gives you a summary of media files uploaded to Bridgo.
It helps you monitor:
- Total uploaded media
- Images
- Videos
- Documents
- Audio files
- Near expiry media
- Expired media
- Media type distribution
- Recent media upload activity
To open it:
➡️ Go to Dashboards → Media Library Insights
⚠️ Note: This dashboard is available only on supported subscription plans. If your plan does not include dashboards, Bridgo will ask you to upgrade.
🔄 Step 1: Refresh the Dashboard #
Click the refresh button at the top-right of the dashboard.
The refresh updates:
- Media KPI cards
- Media Type Breakdown chart
- Recent Media Library Activity table
Use refresh after uploading new media or replacing expired files.
🧮 Step 2: Review Media KPI Cards #
The top section shows the current health of your media library.
Total Media #
Shows the total number of media files uploaded to Bridgo.
This includes images, videos, documents, audio, and other supported media types.
Near Expiry Media #
Shows media uploaded more than 10 days ago.
⚠️ Important: Near expiry media should be reviewed because WhatsApp-hosted media can expire. If media is used in templates or automation, replace it before it causes sending issues.
Expired Media #
Shows media uploaded more than 14 days ago.
Expired media should be renewed or replaced as soon as possible.
Images #
Shows the number of uploaded image files.
Images are commonly used in marketing templates, broadcasts, and auto replies.
Videos #
Shows the number of uploaded video files.
Videos may be used for campaigns, product messages, tutorials, or promotional content.
Documents #
Shows the number of uploaded document files.
Documents may include PDFs, invoices, brochures, catalogs, or guides.
Audio #
Shows the number of uploaded audio files.
Audio files may be used for customer communication, voice messages, or automated replies.
🍩 Step 3: Review Media Type Breakdown #
The Media Type Breakdown chart shows your uploaded media by type.
Common media types include:
- IMAGE
- VIDEO
- DOCUMENT
- AUDIO
- Other/Unknown
Use this chart to understand which type of content your account depends on most.
For example:
- If IMAGE is high, many campaigns or templates may depend on image media.
- If DOCUMENT is high, check document expiry regularly.
- If VIDEO is high, ensure large media files are updated and still valid.
- If AUDIO is high, review audio-based workflows or replies.
🗂️ Step 4: Review Recent Media Library Activity #
The Recent Media Library Activity table shows recently uploaded media.
The table includes:
- File Name
- Type
- Uploaded On
File Name #
Shows the uploaded file name.
Use this to identify the exact file used in templates, broadcasts, or automations.
Type #
Shows the media type, such as IMAGE, VIDEO, DOCUMENT, or AUDIO.
Each type is shown with a colored badge for easier scanning.
Uploaded On #
Shows when the media was uploaded, converted to your account timezone.
Use this date to decide whether a file may be near expiry or already expired.
⚠️ Step 5: Understand Media Expiry #
Media expiry is important because WhatsApp media files may not remain valid forever.
In this dashboard:
- Near Expiry Media means uploaded more than 10 days ago.
- Expired Media means uploaded more than 14 days ago.
If expired media is used in a WhatsApp template, broadcast, auto reply, or transactional automation, the message may fail or the media may not display correctly.
🧭 Step 6: Use Media Insights With Other Pages #
Media Library Insights is a monitoring page. To take action, use it with:

- Upload New Media: Add replacement files.
- Broadcast Campaigns: Confirm broadcasts use valid image, video, or document media.
- WhatsApp Templates: Check templates with media headers.
