The Chatbots page is where you create, manage, publish, activate, deactivate, and open chatbot flows for your WhatsApp workspace. A chatbot can automatically respond to incoming customer messages based on the flow you build in the Chatbot Builder.
Use this page to manage all chatbot projects before opening the visual builder.
✅ Before You Begin #
Make sure your user has the correct permissions:
- Chat Bot → View: Open the chatbot list and builder.
- Chat Bot → Add: Create a new chatbot.
- Chat Bot → Edit: Rename bots, activate/deactivate bots, publish drafts, and deactivate active sessions.
- Chat Bot → Delete: Delete chatbots.
You also need your WhatsApp Business Account configured before bots can be used with live incoming messages.

Go to:
Chatbot Builder → Chatbots
The page title is Chatbots, and the header shows the total number of bots in your workspace.
📋 Chatbots List Overview #
The chatbot table shows:
- Chatbot Name
- Is Published
- Status
- Published Date
- Options
Each row represents one chatbot flow.
🧾 Chatbot Name #
The chatbot name is used to identify the bot inside the platform.
Examples:
- Sales Assistant
- Support Bot
- Booking Bot
- Lead Qualification Bot
- FAQ Bot
Use clear names so your team can quickly understand the bot’s purpose.
🟡 Draft vs Published #
The Is Published column shows whether the chatbot has a published version.
Draft #
A chatbot shows Draft when it has not been published yet.
Draft bots can be opened in the builder, edited, and saved, but they are not available as the live version until published.
Published #
A chatbot shows Published when it has a published version.
Published bots can be activated or deactivated.
🟢 Chatbot Status #
The Status column shows whether a published chatbot is currently active.
Statuses include:
- Active: The chatbot can run for incoming customer conversations.
- In Active: The chatbot is not active.
- Draft/In Active: The chatbot has not been published yet and cannot be activated as a live bot.
Only published bots show the activation toggle.
➕ Creating a New Chatbot #
Click Add Chatbot to create a new bot.
Steps:
- Click Add Chatbot.
- Enter the Bot Name.
- Click Create & Open Builder.
- The platform creates the bot and opens the visual builder.
The bot name is required and supports up to 50 characters.
If the bot limit for your plan is reached, the system displays a limit warning.
🧩 Opening the Chatbot Builder #
Click the flow/chart icon beside a chatbot to open the builder.
The builder page opens as:
Bot Builder – [Bot Name]
Inside the builder, you can design the chatbot flow, save drafts, validate the flow, and publish a version.
The builder loads the chatbot using:
- Company ID
- WABA ID
- Chatbot ID
- User ID
💾 Saving Drafts #
In the builder, changes are saved as a chatbot draft.
Drafts allow you to continue editing without affecting the currently published version.
Use drafts when:
- Building a new bot.
- Making changes to an existing bot.
- Testing structure before publishing.
- Preparing future updates.
🚀 Publishing a Chatbot #
After the chatbot flow is ready, publish it from the builder.
Publishing creates the active version that can be used by the runtime engine.
A chatbot must be published before it can be activated from the chatbot list.
✅ Validating a Flow #
The builder includes flow validation.
Validation checks whether the bot flow is ready and highlights problems such as missing or invalid nodes.
If the flow is valid, the builder confirms that it can proceed.
If the flow is invalid, the builder shows the first detected issues so you can fix them before publishing.
🔄 Activating or Deactivating a Chatbot #
For published bots, use the status toggle in the Status column.
To activate:
- Find the published chatbot.
- Turn the status toggle on.
- The badge changes to Active.
To deactivate:
- Turn the status toggle off.
- The badge changes to In Active.
- The system shows a warning that auto-replies associated with this bot have been deactivated.
Important: Deactivating a bot can also deactivate auto-replies connected to it.
🛑 Deactivating Active Bot Sessions #
If a published bot is active, an additional stop icon appears.
Use Deactivate Active Bot Sessions when you want to stop currently running chatbot sessions for that bot.
Steps:
- Click the stop icon beside the active bot.
- Confirm the action.
- The system deactivates active sessions for that chatbot.
This is useful when:
- You changed the bot logic.
- You want customers to restart the flow.
- You need to stop old active sessions.
- You are troubleshooting a bot.
✏️ Renaming a Chatbot #
Click the edit icon beside a chatbot.
Steps:
- Click Update Bot Name.
- Enter the new bot name.
- Click Update.
The bot name is required and supports up to 50 characters.
If successful, the system shows:
Bot name updated successfully
🔎 Searching Chatbots #
Use the search field in the header.
Steps:
- Enter the bot name.
- Click the search icon.
- The list reloads with matching bots.
If you clear the search field, the full chatbot list reloads automatically.
📄 Pagination #
If you have many chatbots, use the pagination controls at the bottom of the page.
The current search value is preserved when changing pages.
🗑 Deleting a Chatbot #
Click the delete icon beside a chatbot.
A confirmation message appears:
Are you sure you want to delete this Chatbot?
Click Delete to confirm.
Important:
- Deleted bots are removed from the chatbot list.
- Any related usage or active setup may no longer be available.
- Use deactivation instead of deletion if you only want to stop a bot temporarily.
🔗 Data Available Inside the Builder #
The builder can load supporting platform data, including:
- Contact groups
- Agents
- Contact labels
- Branches
- Media files
- WhatsApp Flows
- Flow screens
- Contact languages
- Contact genders
- Contact subscription options
This allows chatbot flows to use existing workspace data when building routing, assignment, filtering, or interactive actions.
⚠️ Common Issues #
Cannot create a chatbot #
Possible reasons:
- The bot name is empty.
- The bot name is too long.
- Your plan reached the chatbot limit.
- Your user does not have the add permission.
Chatbot cannot be activated #
Possible reasons:
- The chatbot is still a draft.
- The chatbot has no published version.
- Your user does not have edit permission.
The bot is active but not responding #
Check:
- The bot is published.
- The bot status is Active.
- The WhatsApp account is connected.
- The incoming message matches the bot logic.
- Active sessions were not manually deactivated.
- Auto-replies connected to the bot are still active.
Auto-replies were deactivated #
When a chatbot is turned inactive, auto-replies associated with that bot may also be deactivated.
✅ Best Practices #
- Use clear bot names.
- Save drafts while building.
- Validate the flow before publishing.
- Publish only after reviewing all paths.
- Activate only one intended live bot per workflow.
- Deactivate old sessions after major flow changes.
- Rename bots instead of creating duplicates.
- Delete only when the bot is no longer needed.
