QR Code Messages let customers scan a QR code and open WhatsApp with a prefilled message ready to send to your business. This is useful for posters, packaging, storefronts, events, websites, invoices, and offline-to-WhatsApp campaigns.
✅ Before You Begin #
Make sure you have:
- ✅ Permission to view QR Code records.
- ✅ Add permission if you need to create QR codes.
- ✅ Edit permission if you need to update QR messages.
- ✅ Delete permission if you need to remove QR codes.
- ✅ A connected WhatsApp Business phone number.
📍 Where to Find It #
Go to:
Integrations → QR Code Message List
The page shows all QR code messages created for your WhatsApp Business account.
📋 QR Code Message List Overview #
The list displays QR codes as cards.
Each QR code card includes:
- 🖼️ QR code image
- 🆔 QR Code ID
- 💬 Prefilled message
- 🔗 Deep link URL
- ⬇️ Download button
- ✏️ Edit button
- 🗑️ Delete button
At the top of the page, you can see the total number of QR codes.
🔎 Search QR Codes #
Use the search box to find a QR code by:
- QR Code ID
- Prefilled message text
Steps:
- Enter the QR Code ID or message text.
- Click the search icon, or press Enter.
- Matching QR code cards remain visible.
- If nothing matches, the page shows a “No QR Code found” message.
Clearing the search field shows all QR codes again.
➕ Create a New QR Code Message #
Click Create New QR Code.
The create page includes:
- Prefilled Message
- QR Image Format
- QR Code Review
💬 Prefilled Message #
Enter the message that should appear in WhatsApp after the customer scans the QR code.
Example messages:
Hi, I want more information.Hello, I am interested in your services.Hi, I scanned your QR code and would like to book an appointment.This field is required.
🖼️ QR Image Format #
Choose the image format for the QR code.
The system uses the selected format when creating the QR code through WhatsApp Cloud API.
The QR code list loads QR images in SVG format.
👀 QR Code Review #
After creating a QR code successfully, the review card shows:
- QR code image
- QR Code ID
- Prefilled message
- Download button
Use this preview to confirm the QR code was generated correctly.
⬇️ Download a QR Code #
Click the download icon on a QR code card.
The system downloads the QR image file using the QR Code ID as the file name.
Use the downloaded QR code in:
- Posters
- Business cards
- Product packaging
- Storefront displays
- Event banners
- Email signatures
- Landing pages
- Printed invoices
✏️ Update a QR Code Message #
Click the edit icon on a QR code card.
The Update QR Code Message modal opens.
Steps:
- Enter the new prefilled message.
- Click Update.
- The system updates the QR code message.
- The page returns to the QR Code Message List.
Required fields:
- QR Code ID
- Message
If either is missing, the update will fail.
🗑️ Delete a QR Code #
Click the delete icon on a QR code card.
A confirmation modal appears:
Are you sure you want to delete this QR Code?
Click Delete to confirm.
After deletion, the QR code message is removed from the list.
🔗 Deep Link URL #
Each QR code includes a deep link URL.
The deep link opens WhatsApp directly with the same prefilled message. You can use it in digital channels where a QR image is not needed.
Use the deep link for:
- Website buttons
- Email campaigns
- SMS links
- Social media posts
- Digital ads
⚠️ Common Issues #
The QR code list is empty #
This means no QR code messages have been created yet. Click Create New QR Code to add one.
The QR code does not update #
Check that:
- The QR Code ID is present.
- The new message is not empty.
- Your WhatsApp phone connection is active.
A QR code cannot be created #
Check that:
- The prefilled message is filled.
- QR Image Format is selected.
- WhatsApp Business phone is connected.
The download does not work #
Check that:
- The QR image URL is available.
- The browser allows downloads.
- The QR code still exists.
✅ Best Practices #
- Use short, clear prefilled messages.
- Make each QR code message specific to its placement.
- Use different QR codes for different campaigns.
- Download and test each QR before printing.
- Use the Deep Link URL for digital campaigns.
- Avoid deleting QR codes that are already printed or distributed.
- Update the message instead of deleting it when possible.
