Creating and Managing Business Branches

Business Branches let you store your company’s physical locations with contact details and map coordinates. These branches can be used inside automation features such as nearest-branch auto replies and chatbot branch routing.


✅ Before You Begin #

Make sure you have:

  • ✅ Permission to view Business Branches.
  • ✅ Add permission if you need to create branches.
  • ✅ Edit permission if you need to update branch details.
  • ✅ Delete permission if you need to remove branches.
  • ✅ Accurate address and map location for each branch.

📍 Where to Find It #

Go to:

Admin Settings → Business Branches

The page opens the Branches List.


📋 Branches List Overview #

The list shows all saved business branches.

Each row includes:

  • 🆔 Branch ID
  • 🏷️ Branch Name
  • 📍 Address, City, Country
  • 📱 Mobile Number
  • ✉️ Email
  • 🗺️ Map Location: latitude and longitude
  • 📅 Date Created
  • ⚙️ Options: edit or delete

At the top of the page, you can also see the total number of branches.


🔎 Search Branches #

Use the search box to search by Branch Name.

Steps:

  1. Enter the branch name or part of the branch name.
  2. Click the search icon.
  3. The list updates with matching results.

If you clear the search field, the page reloads the full list.


➕ Add a New Branch #

Click Add Branch.

A branch form opens in a modal window.

Fill in the required branch details.


🧾 Branch Fields #

🏷️ Branch Name #

Enter the branch display name.

Examples:

  • Dubai Main Branch
  • Riyadh Office
  • Jeddah Service Center
  • Abu Dhabi Showroom

Limit:

  • Maximum 50 characters.

📱 Mobile Number #

Enter the branch mobile number.

Rules:

  • Required.
  • Must include country code.
  • Do not include + or 00.
  • Must be 8 to 15 digits.
  • Cannot start with 0.

Example:

971501234567

✉️ Email #

Enter the branch email address.

Rules:

  • Required.
  • Must be a valid email format.

Example:

branch@example.com

🌍 Country #

Enter the branch country.

Example:

United Arab Emirates

🏙️ City #

Enter the branch city.

Example:

Dubai

📌 Address Details #

Enter the detailed branch address.

Example:

Business Bay, Tower A, Office 1204

🗺️ Latitude and Longitude #

Latitude and longitude define the exact map location of the branch.

These fields are required and are filled using the map selector.

Valid ranges:

  • Latitude: -90 to 90
  • Longitude: -180 to 180

Use accurate coordinates because automation features depend on them.


🗺️ Selecting the Branch Location on the Map #

The Add/Edit Branch modal includes a map area.

Use the map to select the branch location. The system stores the selected latitude and longitude with the branch.

This location is important for features such as:

  • Nearest branch auto replies.
  • Chatbot nearest branch routing.
  • Sending branch locations to customers.
  • Distance-based branch selection.

💾 Save a Branch #

After entering the branch information:

  1. Confirm the branch details.
  2. Confirm latitude and longitude are filled.
  3. Click Add Branch.

If the branch is saved successfully, the modal closes and the list refreshes.


✏️ Edit a Branch #

Click the edit icon beside a branch.

The same modal opens with the existing branch data loaded.

You can update:

  • Branch name
  • Mobile number
  • Email
  • Country
  • City
  • Address
  • Latitude
  • Longitude

Click Edit Branch to save changes.


🗑️ Delete a Branch #

Click the delete icon beside the branch.

A confirmation modal appears:

Are you sure you want to delete this Branch?

Click Delete to confirm.

Deleting a branch removes it from the branch list and can affect any nearest-branch automation that depends on it.


📄 Pagination #

If you have many branches, use the pagination controls at the bottom of the page.

Pagination keeps the current search filter while moving between pages.


🤖 How Branches Are Used in Automation #

Business branches are used by automation features that need location-based routing.

Examples:

  • Auto Reply Type: Branch
  • Sends the nearest available branch based on the customer’s shared location.
  • Chatbot Builder: Send Nearest Branch node
  • Waits for the customer location.
  • Finds the nearest matching branch.
  • Sends the branch location.
  • Routes the chatbot based on the matched branch.

For best results, every branch should have accurate latitude and longitude.


⚠️ Common Issues #

The branch does not save #

Check that:

  • The branch name is filled.
  • Mobile number is valid.
  • Email is valid.
  • Country, city, and address are filled.
  • Latitude and longitude are selected from the map.

The nearest branch automation sends the wrong branch #

Check that:

  • The branch coordinates are accurate.
  • The customer shared the correct WhatsApp location.
  • Old or duplicate branch records are removed or updated.

The branch does not appear in automation #

Check that:

  • The branch was saved successfully.
  • The branch is not deleted.
  • The automation page was refreshed after creating the branch.

✅ Best Practices #

  • Use clear branch names.
  • Keep addresses complete and readable.
  • Always verify the map pin before saving.
  • Use country-code mobile numbers without +.
  • Review branch coordinates before enabling nearest-branch automations.
  • Remove outdated branches to avoid routing customers incorrectly.
