Managing WhatsApp Flows

This guide explains how to use the WhatsApp Flows page in Bridgo to view, sync, preview, publish, deprecate, delete, search, filter, and review customer responses for WhatsApp Flows.

📌 What Are WhatsApp Flows? #

WhatsApp Flows are structured, interactive screens inside WhatsApp.

They can be used to collect information from customers, guide them through steps, or complete actions such as:

  • Sign up
  • Log in
  • Appointment booking
  • Lead generation
  • Shopping
  • Contact us
  • Customer support
  • Surveys
  • Other custom journeys

To open the Flows page:

➡️ Go to WhatsApp Tools → Flows

⚠️ Note: WhatsApp Flows are available only on supported subscription plans. If your plan does not include Flows, Bridgo will ask you to upgrade.

✅ Step 1: Review the WhatsApp Flows List #

The Flows table shows all synced WhatsApp Flows.

Each row includes:

  • Flow Name: The name of the flow.
  • Category: The flow category.
  • Version: The current flow version.
  • Status: The current flow status.
  • Date Synced: When the flow was synced into Bridgo.
  • Last Update: When the flow was last updated.
  • Flow Review: Preview action or preview expiry status.
  • Responses: Number of submitted responses.
  • Options: Publish, deprecate, or delete actions when available.

The top of the page also shows the total number of flows found.

🏷️ Step 2: Understand Flow Categories #

Flows can be grouped by category.

Available categories include:

  • Sign up
  • Log in
  • Appointment booking
  • Lead generation
  • Shopping
  • Contact us
  • Customer support
  • Survey
  • Other

Use categories to organize flows based on their purpose.

For example:

  • Use Lead generation for customer inquiry forms.
  • Use Appointment booking for scheduling forms.
  • Use Customer support for support intake journeys.
  • Use Survey for feedback collection.

🟢 Step 3: Understand Flow Statuses #

Flow status tells you whether the flow can be used.

Available statuses include:

  • Draft: The flow is still being prepared and can be published.
  • Published: The flow is live and can be used.
  • Deprecated: The flow has been retired.
  • Blocked: The flow is blocked and may need review.
  • Throttled: The flow is restricted or limited.

Published flows appear with a success-style status badge.

Other statuses appear with a warning-style badge.

➕ Step 4: Add a New Flow #

Click Add Flow.

Bridgo opens Meta WhatsApp Manager in a new browser tab.

From Meta, you can create a new WhatsApp Flow.

After creating or updating a flow in Meta:

  • Return to Bridgo.
  • Click Sync Flows.
  • Confirm the flow appears in the list.

⚠️ Important: Flow creation happens inside Meta WhatsApp Manager. Bridgo syncs and manages the flow after it exists in Meta.

🔄 Step 5: Sync Flows #

Click Sync Flows to pull the latest flow data from Meta into Bridgo.

Sync Flows updates:

  • Flow name
  • Category
  • Version
  • Status
  • Preview URL
  • Flow JSON
  • Screens and fields
  • Response availability
  • Created and updated dates

When sync finishes successfully, Bridgo shows:

Flows synced successfully

Use Sync Flows after:

  • Creating a new flow in Meta
  • Updating a flow in Meta
  • Publishing a flow
  • Deprecating a flow
  • Deleting a flow
  • Adding or changing flow fields

🔎 Step 6: Search by Flow Name #

Use the search box to search by full flow name.

  • Enter the flow name.
  • Click the search icon.

If you clear the search field, Bridgo automatically refreshes the list.

Use this when you know the flow name and want to find it quickly.

🧰 Step 7: Use Advanced Filters #

Click the filter button to open the Search modal.

You can filter by:

  • Category
  • Status

Category options include:

  • Sign up
  • Log in
  • Appointment booking
  • Lead generation
  • Shopping
  • Contact us
  • Customer support
  • Survey
  • Other

Status options include:

  • Blocked
  • Deprecated
  • Draft
  • Published
  • Throttled

After selecting filters, click Search.

🧹 Step 8: Clear Filters #

If filters are applied, Bridgo shows a clear filter button.

Click it to remove all search and filter values and return to the full flow list.

You can also clear filters from inside the Search modal.

👁️ Step 9: Preview a Flow #

If the flow preview is available, click the review icon in the Flow Review column.

Bridgo opens the Flow Preview modal and displays the flow inside an iframe.

Use preview to check:

  • Screen order
  • Questions and labels
  • Field layout
  • Buttons and actions
  • Customer experience

If the preview URL has expired, Bridgo shows:

Preview expired

In that case, sync the flow again or refresh the flow from Meta if needed.

📥 Step 10: Review Flow Responses #

The Responses column shows how many submissions were received for each flow.

If the response count is greater than 0, Bridgo shows a submissions icon.

Click it to open the Flow Submissions page.

From there, you can review customer-submitted flow data.

Use submissions to inspect:

  • Customer phone number
  • Submission date
  • Field labels
  • Field values
  • Form answers
  • Lead details
  • Booking details
  • Survey responses

🌍 Step 11: Publish a Draft Flow #

If a flow has Draft status, a publish icon is available.

Click the publish icon.

A confirmation message appears:

Are you sure you want to Publish this Flow?

Click Publish to confirm.

When publishing succeeds, Bridgo updates the flow status to PUBLISHED.

⚠️ Important: Review the flow carefully before publishing because customers may start using it after it becomes live.

⛔ Step 12: Deprecate a Published Flow #

If a flow has Published status, a deprecate icon is available.

Click the deprecate icon.

A confirmation message appears:

Are you sure you want to deprecate this Flow?

Click Deprecate to confirm.

Deprecating a flow retires it so it should no longer be used for new customer journeys.

Use deprecate when:

  • The flow is outdated.
  • You replaced it with a newer version.
  • The flow should no longer be used.
  • The flow content is incorrect.

🗑️ Step 13: Delete a Draft Flow #

If a flow has Draft status, a delete icon is available.

Click the delete icon.

A confirmation message appears:

Are you sure you want to delete this Flow?

Click Delete to confirm.

⚠️ Important: Delete is available for draft flows. Published flows should be deprecated instead of deleted.

📄 Step 14: Use Pagination #

If you have many flows, use the pagination controls at the bottom of the page.

When you move between pages, Bridgo keeps your current search and filter values.

🧭 Step 15: Use Flows With Other Bridgo Features #

WhatsApp Flows can be used with:

  • Broadcast Campaigns: Add flow buttons to template messages.
  • WhatsApp Templates: Use flow templates to launch structured journeys.
  • Auto Replies: Trigger a flow from customer keywords or conditions.
  • Chatbot Builder: Guide customers into structured data collection.
  • Conversation Log: Review flow replies and message history.
  • Flow Submissions: Review the data customers submitted.

🧪 Common Use Cases #

Create a new lead form #

  • Click Add Flow.
  • Build the flow in Meta.
  • Return to Bridgo.
  • Click Sync Flows.
  • Preview the flow.
  • Publish it when ready.

Find all draft flows #

  • Open filters.
  • Set Status to Draft.
  • Click Search.
  • Review flows that still need publishing.

Review customer submissions #

  • Find the flow.
  • Check the Responses count.
  • Click the submissions icon.
  • Review submitted fields and values.

Replace an old published flow #

  • Create or sync the new flow.
  • Publish the new version.
  • Deprecate the old published flow.

Fix an expired preview #

  • Click Sync Flows.
  • Check whether the preview URL refreshes.
  • Open the preview again.

  • Preview every flow before publishing.
  • Keep flow names clear and descriptive.
  • Use categories to organize flows by purpose.
  • Sync flows after making changes in Meta.
  • Deprecate old published flows instead of deleting them.
